Last updated November 6, 2026.
This Privacy Policy describes the types of information EMR-Bear, LLC (“EMR-Bear,” “we,” “us” or “our”) collects through emrbear.com, its subdomains, and the landing pages and other web properties we operate that link to this Privacy Policy (collectively, the “Site”), and how we use and share that information. By accessing the Site, requesting a demo, or otherwise interacting with us through the Site, you acknowledge that you have read and understood this Privacy Policy. This Privacy Policy applies solely to information we collect through the Site. It does not address personal information you provide to us in other contexts, such as information entered into the EMR-Bear electronic health record (EHR), practice management or billing platform, which is governed by the applicable customer agreement and, where applicable, Business Associate Agreement.
The Site is intended solely for our business customers and prospective customers, including behavioral health, mental health and substance use disorder (SUD) treatment providers, community-based care organizations, residential and outpatient programs, Federally Qualified Health Centers (FQHCs), Certified Community Behavioral Health Clinics (CCBHCs), Tribal health programs, and other healthcare and human services organizations. Personal information collected through the Site is collected from individuals acting as employees, officers or representatives of those organizations, and not acting in an individual capacity.
Information You Provide
We collect personal information that you provide to us through the Site, including when you request a demo, fill out a contact form, download a resource, sign up for communications, register for a webinar or event, or otherwise contact us. This information may include your first and last name, email address, telephone number, job title, organization name, mailing address, and any information you choose to include in a comment or message field. We may combine the information we collect from you with information we receive about you from other sources, such as through our customer relationship management (CRM) system.
Please do not submit protected health information, substance use disorder treatment records, or other information about the patients or clients your organization serves through the Site’s forms. The Site’s forms are intended for business contact information only.
Information Collected Automatically
When you visit the Site, we may automatically collect certain information, including your IP address, browser type, operating system, device identifiers, the referring website or domain, the pages you visit, the date and time of your visit, the amount of time you spend on the Site, the number of times you return, and other similar data. We may also use non-personal or aggregated information for statistical analysis, research, and other purposes.
We use cookies, web beacons (pixels) and similar technologies to operate and improve the Site, understand how visitors use it, measure the effectiveness of our marketing, and provide interest-based advertising. We work with service providers, including marketing automation and analytics platforms, that help us collect and analyze this information. We may combine the information collected through these technologies with other information we have about you. You can set your browser to reject cookies or delete cookies at any time; however, some features of the Site may not function properly if you do. For more on your choices, see “Interest-Based Advertising and Your Choices” below.
How We Use Information
We use the information we collect to: respond to your inquiries and fulfill your requests for demos, resources and information; send confirmation emails and follow up on your requests; send you newsletters, product updates, event invitations and other informational and promotional materials from EMR-Bear and affiliated companies within the MedSuite family of brands; operate, analyze, maintain and improve the Site and our marketing; measure and personalize our advertising; protect the security and integrity of the Site and prevent fraud or misuse; and comply with legal obligations and enforce our rights.
You can unsubscribe from our marketing emails at any time by clicking the “unsubscribe” link in any email we send or by contacting us as described in “Contact Us” below. Even if you opt out of marketing communications, we may still send you administrative or service-related messages, for example if you are a current customer.
How We Disclose Information
EMR-Bear does not sell your personal information for money. We disclose personal information only as described in this Privacy Policy.
Service Providers. We share personal information with companies that perform services on our behalf, such as website hosting, CRM, marketing automation, email delivery, analytics, scheduling and customer support providers. These companies are permitted to use your personal information only to provide services to EMR-Bear.
Advertising and Analytics Partners. As described in “Interest-Based Advertising and Your Choices” below, third-party advertising and analytics partners may collect information about your use of the Site through cookies and similar technologies.
Affiliates. EMR-Bear is part of the MedSuite family of healthcare software brands. We may share personal information with MedSuite and its affiliated brands for the purposes described in this Privacy Policy, including to respond to your inquiries and to tell you about products and services that may be relevant to your organization.
Legal Requirements and Protection. We may disclose information to respond to subpoenas, court orders, legal process or governmental requests; to establish, exercise or defend legal claims; or to investigate, prevent or take action regarding illegal activities, suspected fraud, threats to the safety of any person, or as otherwise required or permitted by law.
Business Transfers. We may disclose personal information in connection with a merger, acquisition, financing, sale of assets or other transfer of all or part of EMR-Bear’s business. We will require any successor to honor the terms of this Privacy Policy with respect to the information transferred.
Aggregated and De-identified Information. We may share aggregated or de-identified information that cannot reasonably be used to identify you for any lawful purpose.
Interest-Based Advertising and Your Choices
We may work with third-party advertising companies and platforms, such as Google and LinkedIn, that use cookies, pixels and similar technologies to serve our advertisements across the internet. These companies may collect information about your visits to the Site and other websites and your interaction with our advertising, and may use that information to show you ads that are more relevant to you.
You can limit interest-based advertising by adjusting your browser’s cookie settings, visiting Google Ad Settings or LinkedIn’s advertising preferences, or using the industry opt-out tools offered by the Digital Advertising Alliance and the Network Advertising Initiative. Opt-outs are specific to the browser and device you use them on, and you may still see ads from us that are not personalized.
Your Privacy Rights
Depending on where you live, you may have rights under applicable law regarding your personal information. These may include the right to request access to, correction of, or deletion of your personal information; to receive a copy of it in a portable format; and to opt out of targeted advertising or of the “sale” or “sharing” of personal information as those terms are defined under applicable law. To make a request, contact us using the information in “Contact Us” below. We may need to verify your identity before responding, and we will respond as required by applicable law. Where permitted, you may use an authorized agent to make a request on your behalf. If we decline your request, you may appeal by replying to our response. We will not discriminate against you for exercising your privacy rights.
Information entered into the EMR-Bear platform by or on behalf of our customers, including information about the patients and clients they serve, is controlled by the customer. Requests regarding that information should be directed to the customer organization.
Do Not Track Signals
Some browsers transmit “Do Not Track” signals. Because there is no common industry standard for these signals, we do not currently respond to them.
Retention
We retain personal information only as long as necessary to fulfill the purposes for which it was collected, unless a longer retention period is required or permitted by law or by an agreement between you or your organization and EMR-Bear.
Security
We use physical, electronic and administrative measures designed to protect the information we collect. However, no method of transmission over the internet or of electronic storage is completely secure, and we cannot guarantee the security of your information.
Children
The Site is intended for business professionals and is not directed to children. We do not knowingly collect personal information from children under the age of 16. If we learn that we have collected such information, we will delete it.
Third-Party Links
The Site may contain links to third-party websites and services, such as social media and video platforms, which have their own privacy policies. We are not responsible for the practices of those sites, and we encourage you to review their privacy policies before providing any personal information.
Users Outside the United States
The Site is operated from and hosted in the United States. If you access the Site from outside the United States, your information may be transferred to, stored and processed in the United States or other countries, where data protection laws may differ from those in your country.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on the Site and revise the “Last updated” date above. If we make material changes, we will provide additional notice as required by applicable law. Your continued use of the Site after an update is posted means you acknowledge the updated Privacy Policy.
